Communication & Creative Request Form

The Communication Team is here to help you get the word out about your ministry event and/or communication needs! We strive to reflect the heart of your event while maintaining the best practices to ensure effectiveness, clarity, and consistency. Since there is a limited amount of time, energy, and space that can be given to communications at CCCOG, we sometimes have to make difficult decisions about what things will be promoted in which capacities. Any communication decisions are made based on the church’s mission and core values and the purpose, target audience, timeframe, and detail of the requested event.

*Please note that until your request is submitted in its entirety (dates, contact information, written material, etc.) we cannot lock in a deadline. We need to have all information before we can guarantee a completion date. Finalization of communications will be at the discretion of staff and the Communication Team.

Communication Timeline

At CCCOG, we like to give at least 2 weeks notice of upcoming events (if not more). So, if your event is on the last Sunday of the month, the Communications Team needs all relevant information and graphics/video/etc two weeks PRIOR to that Sunday. To help your event succeed in getting the word out, the more lead-in time to gather all materials and information, the better. Video and out-of-house printing needs a request at least 6 weeks prior to your event to give time for storyboarding and printing/shipping.

Communication Requested

General media needs at least 2 weeks lead time, video needs 3-6 weeks. For printing in house, please give at least 4 weeks, for professional printing, please allow 4-6 weeks prior to event.

Now What?

• Within 2 Business days of receiving the request, initial follow-up with deadline commitment and request for any further information.
• The Communication Team will use materials that are free from copyright infringement to the best of their ability and will avoid using images/video/fonts/vectors/music that will violate copyrights and or require licensures.
• Publishing of the communication will take place at regular intervals determined by the Communication Team for each media type. The event leaders can and should invite people verbally and via social media as much as possible to also promote the event. For Facebook Announcements and Events, it’s very important to have your entire team RSVP, Post, Share, Invite, Like and Comment on all materials posted.
• Any printed materials will have a draft/approval process beginning at least one week out from run date.
• You will be notified via email when printed materials are available for pick-up.
• If you need access to any digital files they will be made available via Google Drive and/or Email, or USB Drive.
